Information for Presenters

General information on abstracts and number of presentations

We are expecting around 300 participants at this year’s meeting, so scheduling will be tight. Consequently, each registrant will be allowed to present no more than one oral paper and one poster . Exemptions may be granted under special circumstances (e.g., when the lead author is unable to attend the meeting because of illness). For clarification of the policy, or to request an exemption, please contact the MSA Program Committee. Poster space is limited this year (about 100 posters). We therefore request that if you have a presentation that would be suitable for either oral or poster presentation that you select ‘oral’.

Abstracts will be proofed, corrected and approved by the MSA Program Committee member in charge of abstracts (Kerry O’Donnell), but you will not be able to access your abstracts directly to make changes. You will be able to check the appearance, status and scheduling of your presentation on the website. The abstracts will be published on-line in the Inoculum issue preceding the MSA meetings, but there will not be a printed book of abstracts.

Oral Presentations

Oral presentations must be created in PowerPoint format. We will be using Microsoft Office 2010. Oral presentations will be allotted 12 min for the talk and 3 min for questions. Pre-submission of PowerPoint presentations will not be required. Presenters must bring their presentations to the assigned session at least 15 minutes prior to the start of that session on either a USB flash drive or CD. The computers used for presentations will NOT have internet access. PowerPoint files created on Macintosh computers should be previewed on a PC to ensure cross-platform compatibility. Laser pointers may be available. Although there is no limit on file size, please be prudent and take advantage of the many strategies for minimizing the overall size of your presentation (especially image size compression).

Poster Presentations

Poster displays will be on free standing 4-sided cardboard columns 6-7 feet high (1.8-2 m) and 3 feet (0.91 m) wide on each side. Posters cannot exceed 3 feet (0.91 m) in width, but can be up to 4 feet (2 m) in height. Poster space and push pins should be ready for mounting posters by 4 PM on Sunday, 15 July in Ballroom C at the Omni Hotel. There will be two poster sessions on Monday evening, 8:00-9:00 and 9:00-10:00 PM. Each space will be marked with the abstract number/code assigned to that poster. Each presenter (or a co-author) should be present at their poster during their assigned session to answer questions. Posters can remain up till Wednesday evening, when the banquet and auction will be held in Ballrooms A and B of the Omni Hotel.
